What a delegate kit actually has to do
Delegate bags fail in predictable ways, and almost never because the gift was too cheap. 1. The bag
Three realistic formats. A non-woven bag at AED 1.94 is the volume option for large public-facing events — light, printable, and nobody expects to keep it. A cotton tote at AED 3.53, or the GRS-certified recycled cotton ABLAR at AED 4.80, reads as deliberate and actually gets reused, which is where your logo earns its keep after the event. 2. The credential
This is the item delegates interact with most and the one most often under-specified. Printed lanyards with epoxy doming start at AED 1.05; a 20 mm RPET lanyard with hook and safety clip is AED 2.45; and a lanyard with a retractable reel badge and safety lock is AED 3.50 — worth it at any event with access control or badge scanning, because delegates stop taking the lanyard off. 3. The capture tool
A notebook and a pen, sized for a lap. A5 is correct; A4 is not. 5. The printed matter

How many to order
Registration numbers and attendance numbers are not the same number, and neither is the number of kits you need. The rule we give organisers:
- Paid, confirmed delegates: order 100% plus 5%. Damage, misassembly and the badge that gets printed with a typo all come out of that 5%.
- Free registrations: expect 50–70% actual attendance in Dubai, and order against the realistic figure plus 10% — not against the registration list. Over-ordering free-event kits is the single most common waste in this category.
- Speakers, sponsors, press and crew: count them separately and add 15% on that subtotal. They always need more than planned.
- Keep lanyards and ID cards non-personalised if you can, with names handwritten or printed on-site. Pre-printed personalised badges are elegant and generate a walk-up queue of no-shows and name corrections.
The 8-week timeline
- Week −8. Lock the tier and the headcount band. Order long-lead branded items — bottles, power banks, wireless chargers — first, because these are the items that get quoted against stock.
- Week −6. Approve branding artwork for bags, notebooks and lanyards. Logo placement on a lanyard and on a curved bottle are different files; send both.
- Week −4. Branded goods in production. Finalise the agenda and speaker list.
- Week −2. Print the paper layer — agenda cards, floor plans, certificates, registration signage. This is the item you can legitimately leave late, which is exactly why it should not slip further.
- Week −1. Assembly. Budget one person-hour per 60–80 kits for a five-item kit. For 300 delegates that is roughly half a day for one person, or two hours for three.
- Day −1. Delivery to the venue, not to your office. Confirm who signs for it and where it is stored overnight.

How long before the event should I order?
Eight weeks for a branded kit with bottles, power banks or chargers in it. Four weeks if the kit is bag, lanyard, notebook and pen only. The paper layer — agenda cards, floor plans — can be printed in the final two weeks, and in a genuine emergency faster. The constraint is always the logo application on hard goods, never the printing.
Can you brand each item with a different logo?
Yes — event logo on the bag, company logo on the notebook and a sponsor mark on the lanyard is a common split. Send each mark as a separate vector file and tell us which goes where; we return a mock-up per item before production.
Do you assemble and pack the kits?
