Which envelope size do you actually need

DL — the everyday business envelope

DL takes an A4 sheet folded in three, which makes it the default for invoices, statements, letters, payslips and direct mail. It is also the cheapest envelope per unit by a wide margin: at 5,000 pieces you are paying 28 fils against 38 fils for A5 and 66 fils for A4. If your correspondence is a single folded letter, DL is the correct and most economical choice — see the dedicated DL envelope collection for the full range.

One practical point for Dubai offices: a DL envelope is also the format most window-envelope machinery and most mail-merge letter templates assume. If you print letterheads, design the letterhead and the DL envelope together so the address block lands correctly when the sheet is tri-folded.

A5 — unfolded A5 documents, cards and invitations

An A5 envelope takes an A4 sheet folded once, or an A5 document flat. This is the size for greeting cards, event invitations, thank-you cards, small brochures and anything you would rather not fold twice. It is the usual envelope for invitation work and for thank-you cards and compliment slips, where a crease across the printed face would look careless.

A4 — contracts, certificates and anything that must stay flat

An A4 envelope holds a full A4 sheet unfolded. Use it for signed contracts, tender submissions, trade licences, bank documents, and printed certificates that must arrive without a fold line. It is the most expensive envelope per unit, which is the point — you are buying flatness, not volume. For a law firm, a clinic or a government-facing consultancy, a branded A4 envelope does a lot of quiet credibility work.

100 gsm or 120 gsm

Both weights are offered across all three sizes, and the price gap is small: AED 50 per 1,000 on DL, AED 100 on A5, AED 120 on A4. The difference shows up in two places.

Opacity. At 100 gsm, the contents of an envelope are faintly visible when held against a bright light — which in practice means a dark letterhead block or a dense table can show through. At 120 gsm this effectively stops. If you post payroll, invoices with amounts visible, medical results or anything where discretion matters, pay the extra and go to 120 gsm.

Durability in transit. UAE courier handling and local post are not gentle, and humidity softens lighter stock. A 120 gsm envelope arrives with crisper edges and is less likely to split at the seam if the contents are thick — say a multi-page contract plus a folder insert. For single-sheet bulk mailings, 100 gsm is perfectly adequate and saves real money at 5,000 pieces.

Window or no window

A window envelope has a die-cut aperture, usually on the lower left of a DL face, covered with a clear film so the recipient address printed on the letter itself shows through. The appeal is operational: you print the address once, on the letter, and skip addressing the envelope entirely. For a finance team sending 2,000 statements a month from an accounting system, that is a genuine saving in labour and in errors.

The catch is that window envelopes only work if your letter template is built for them. The address block has to sit exactly where the aperture lands after the sheet is tri-folded, with a tolerance of a few millimetres — and that position has to be identical on every letter your system generates. If your correspondence is varied, or produced by hand, a plain-faced envelope with the address printed or labelled is more reliable.

Artwork rules specific to envelopes

Envelopes are the one print item where the shape of the product fights the design, and almost every reprint we see comes from one of these four mistakes.

  1. Keep artwork clear of the flap and the glue line. Printing runs on the face. Anything that drifts onto the gum strip will not hold ink properly and can stop the flap sealing.
  2. Leave the postal zone clear. Keep the lower right quadrant of the face free of heavy colour and texture so an address label, a franking mark or handwriting stays legible. A full-bleed dark envelope looks striking and then becomes unusable at the post counter.
  3. Respect the seam. The back of an envelope has overlapping folded panels, so the surface is not uniformly flat. Logos placed across a seam will show a step. Keep elements at least 5 mm from any seam or edge.
  4. Supply print-ready files: PDF in CMYK, 300 dpi at final size, 3 mm bleed, fonts outlined or embedded. Flat colour blocks hold better on uncoated envelope stock than fine gradients, which can band. Full details are in the print-ready artwork checklist.
