An insurance broker's print list is short, repetitive and unforgiving. You need something that holds a proposal without creasing, something that holds a policy document the client will keep for a year, and a carbonised form your surveyor can fill in on a car park floor. In the UAE in 2026 that means an A4 proposal folder from AED 14.25 each on a 100-piece run, a policy or document wallet from AED 6.00 per piece, and NCR claim forms from AED 294 for five A4 books — all VAT inclusive, all delivered across the Emirates in 3–5 working days after artwork approval.

Below is the full list with real prices from our folder range and envelope range, plus the specification decisions that actually affect whether a broker's documents look credible at a client meeting.

1. Proposal folders — the item that carries your quote

A general insurance or group medical proposal runs 8 to 20 pages. If you hand it over loose or in a plastic slip file, you have told the client exactly how much the account matters to you. A printed presentation folder with an inside pocket does three jobs: it keeps the quote flat, it holds the business card, and it survives being passed from the HR manager to the CFO.

The specification we recommend for brokers is 400gsm art matt, velvet (soft-touch) lamination on the outside, one inside pocket. Velvet lamination is the single cheapest way to make a folder feel expensive, and it resists fingerprints — which matters when the same folder gets handled by four people in one meeting. Adding 3D gold foil on the logo is the step up for high-net-worth and corporate accounts.

Our 100 A4 folders with pocket, 400gsm art matt, velvet lamination and 3D gold foil run AED 1,425 — AED 14.25 each including die-making, die-cutting and pasting. That is the realistic cost of a credible proposal folder in Dubai at a 100-piece quantity; the per-unit cost drops meaningfully at 500 and 1,000.

For a broker who wants the folder to be the gift as well as the carrier, the ready-made options are worth a look: the Eco-Friendly A4 Folder with notepad, sticky notes, pen and card slots at AED 9.50 is made from 100% recycled cardboard and takes a screen or UV printed logo; the A4 linen business folder with pen loop at AED 14.50 is the neutral corporate choice. At the top end, the Cross A5 zip writing folder with agenda and pen at AED 138.00 is a renewal gift, not a proposal carrier.

Full format and pocket options are in our presentation folder printing guide.

2. Policy wallets and document bags — the item the client keeps

A motor or medical policy document is a 12-month artefact. The client puts it in a drawer and comes back to it at claim time or at renewal. Whatever it is stored in carries your logo for that entire year, which makes a policy wallet one of the highest-value-per-dirham items on a broker's print list.

Three practical tiers:

  • AED 3.50 — Travel Document Pouch. For motor policies and travel insurance, where volume is high and the document set is thin.
  • AED 6.00 — VENTA Document Bag. The default. Holds an A4 policy schedule plus endorsements, sits in a glovebox or a file drawer.
  • AED 10.00 — HANIJA Giftology Document Bag (black or grey). The corporate and group-scheme tier, where the document is going to a company HR file rather than a consumer drawer.

For a relationship manager carrying files between client offices, the laptop and document bag with detachable shoulder strap at AED 18.50 or the Skross Premium Laptop / Document Sleeve at AED 81.00 are the branded-kit options — see also our policy-safe gift guide for banks and financial firms, which applies almost unchanged to brokers operating under compliance rules on client gifting.

3. Claim forms, survey reports and receipt books — NCR

Anything that needs a copy for the client and a copy for your file should be a carbonless (NCR) book, not a photocopy. The format decision is simple: 1+1 (two-part) when the client keeps one copy and you keep one; 1+2 (three-part) when a surveyor, a workshop or an insurer also needs a copy.

Brokers typically order three separate books: a claim intimation form, a vehicle or property inspection form, and a premium receipt book. Sequential numbering is standard and should be specified at order — it is what makes a form auditable. Full detail on part counts, numbering and perforation is in our NCR invoice book guide.

What a broker's opening print order actually costs

A new brokerage or a new branch typically needs five line items. Taking the mid specification from the table:

  • 100 A4 proposal folders, 400gsm with velvet lamination and foil — AED 1,425
  • 100 policy wallets at AED 6.00 — AED 600
  • 10 NCR claim-form books, A4, full colour 1+1 — AED 500
  • 1,000 DL envelopes, 100gsm — AED 760
  • 1,000 business cards, 400gsm matt laminated — AED 139

Total: AED 3,424, VAT inclusive, and that covers roughly a quarter of client-facing activity for a small-to-mid broker. Add 1,000 letterheads if you issue cover notes and renewal letters on paper — sizes and GSM options are in the letterhead printing guide.

The three specification mistakes brokers make

Ordering a folder too light. A 300gsm folder with a pocket will bow under a 20-page proposal and the pocket will tear at the fold. 400gsm is the floor for anything with an inside pocket. If you are unsure which weight suits which job, our paper GSM guide maps weights to applications.

Glossy lamination on a document people handle repeatedly. Gloss shows every fingerprint and scuffs white at the corners. Matt or velvet is the correct choice for folders and policy wallets; save gloss for items that get looked at once. The trade-offs are covered in the lamination guide.

Printing forms without numbering. A claim form or receipt without a sequential number is not an auditable document. Numbering costs very little and has to be specified before plating — retrofitting it means a reprint.

How to order

  1. Send artwork or a brief. Vector logo (AI, EPS, PDF) plus the form layout if you have one. If you only have a scan of your current claim form, send that — we rebuild it to print-ready artwork free of charge.
  2. Approve the proof. You receive a PDF proof showing the folder die-line, the form layout with the numbering range, and the lamination and foil positions. Nothing is produced without written approval.
  3. Production: 3–5 working days from approval for folders, wallets, envelopes and cards. NCR books and booklets are at the longer end of that window; large envelope runs can be split so your first delivery arrives earlier.
  4. Delivery. Free within Dubai on orders over AED 800. Abu Dhabi, Sharjah and the Northern Emirates are charged by address and quantity, confirmed on the quote.

Frequently asked questions

What is the minimum order for proposal folders in the UAE?

One hundred pieces for a custom-printed folder with die-cutting and an inside pocket — below that, die-making and setup dominate the cost and the per-unit price stops making sense. Ready-made branded folders such as the eco A4 folder or the linen business folder start at 50 pieces because there is no die involved.

Should claim forms be two-part or three-part NCR?

Two-part (1+1) when the copies go to the client and your file. Three-part (1+2) when a surveyor, workshop or insurer also retains a copy — most motor claim workflows in the UAE need three. The price gap is small: AED 500 versus AED 580 for ten A4 full-colour books.

Can you match our brand colour exactly on a folder?

Yes, with a Pantone spot colour rather than a CMYK build, which is the right approach for a corporate identity colour that appears on every document. Tell us the Pantone reference at quote stage; we will flag it if the colour cannot be reproduced reliably on your chosen stock and lamination.

Do you print bilingual Arabic and English forms?

Yes, and for claim and consent forms in the UAE it is usually the right call. Bilingual forms need the layout planned around both scripts rather than one pasted over the other — see our Arabic and bilingual print design guide. We proofread Arabic copy before production.

How fast can you reprint an existing claim-form book?

If we hold the artwork from a previous order, a repeat NCR run is typically 3–4 working days with no new proof required beyond a numbering confirmation. Keep your form version number on the artwork so repeats are unambiguous.

Are the prices VAT inclusive?

Yes — every price on the store and in the table above includes 5% VAT. There are no separate setup or artwork charges on standard specifications; die-making for custom folder shapes is quoted upfront if your folder is not a standard A4 pocket format.
